H&L Travel Co. — Terms & Conditions

These Terms & Conditions govern all services provided by H&L Travel Co. (“we”, “us”, “our”). By engaging with our services, making a booking, or paying a planning deposit, you (“the client”, “traveller”, “customer”) agree to the following Terms & Conditions.
1. Services Provided
H&L Travel Co. provides bespoke travel planning services, curated Signature Escapes, itinerary design, and travel-related booking assistance.
We may assist with arranging accommodation, transfers, activities, experiences, and other travel-related services through trusted travel partners and suppliers.
Unless otherwise stated in writing, international and domestic flights are not included within our Signature Escapes or Bespoke Journey services.
2. Planning Deposits & Payments
A planning deposit and/or agreed planning fee must be paid before any detailed itinerary design, supplier sourcing, booking management, or planning work begins.
Planning deposits and planning fees are non-refundable once planning work has commenced.
For qualifying bookings where complimentary planning is included, a minimum trip value threshold must be met as outlined on our website.
Final balances for all trips, services, and confirmed bookings must be paid no later than 6 weeks prior to departure unless otherwise agreed in writing.
Failure to make payment within the required timeframe may result in cancellation of services and loss of deposits already paid.
3. Pricing & Availability
All pricing provided by H&L Travel Co. is subject to supplier availability at the time of booking.
Accommodation, experiences, activities, transfers, and travel services are subject to price fluctuations, seasonal demand, currency changes, and supplier adjustments.
Quoted pricing cannot be guaranteed until bookings are confirmed and deposits/payments have been received.
Displayed pricing for Signature Escapes is based on two adults sharing one room unless otherwise stated.
Local hotel taxes, resort fees, tourism taxes, city taxes, and any locally payable charges are not included unless specifically stated.
4. Customer Responsibilities
Clients are solely responsible for:
Booking and managing their own flights unless otherwise agreed in writing
Ensuring passports are valid for travel
Obtaining any required visas or travel authorisations
Meeting all entry requirements for destinations visited
Arranging suitable travel insurance
Reviewing all travel documentation provided
Arriving on time for flights, transfers, and experiences
H&L Travel Co. accepts no responsibility for losses, denied boarding, additional expenses, or disruptions resulting from failure to comply with the above responsibilities.
We strongly recommend comprehensive travel insurance for all trips.
5. Car Hire Responsibilities
Where car hire forms part of an itinerary or recommendation, clients remain fully responsible for:
Parking charges
Toll charges
Fuel costs
Vehicle insurance and excess charges
Traffic violations or fines
Any damage or claims associated with the vehicle
Clients must ensure they meet all licence, age, and identification requirements set by the vehicle rental provider.
6. Changes & Revisions
Included itinerary revisions vary depending on the selected planning service tier.
Additional revisions, significant itinerary changes, destination changes, or amendments requested after confirmation may incur additional charges.
While we will always aim to accommodate changes where possible, modifications remain subject to supplier availability and pricing changes.
7. Cancellations & Refunds
The initial deposit payable to H&L Travel Co. consists of a non-refundable service charge of £250 together with any supplier deposits required to secure your accommodation, experiences, private transfers, and other travel arrangements.
The £250 H&L Travel Co. service charge covers the destination research, itinerary design, supplier liaison, and administration undertaken in preparing your personalised journey. As work commences immediately, this element of the deposit is non-refundable should you choose not to proceed with your booking.
The remaining balance of your initial deposit will be applied towards securing your travel arrangements and will be subject to the individual cancellation, amendment, and refund policies of the relevant suppliers.
If you wish to cancel a confirmed booking, written notice must be provided to H&L Travel Co. as soon as reasonably possible.
Any refunds relating to accommodation, experiences, transfers, or other travel arrangements will be subject to the cancellation terms of the relevant supplier. H&L Travel Co. cannot guarantee that supplier payments will be refundable.
H&L Travel Co. reserves the right to retain the non-refundable service charge, together with any non-refundable supplier costs and any reasonable administration costs incurred in processing cancellations, amendments, or refunds.
7.1. Bookings & Confirmation
A booking will only be considered confirmed once H&L Travel Co. has received the required initial deposit and any applicable supplier deposits, and written confirmation has been issued confirming that your accommodation, experiences, transfers, and other travel arrangements have been successfully secured.
Prior to this confirmation, all proposals, quotations, and availability remain subject to change and cannot be guaranteed.
8. Supplier Responsibility
H&L Travel Co. acts as a travel planning and booking service using third-party suppliers and trusted travel partners.
We are not liable for acts, errors, omissions, delays, service failures, cancellations, or operational issues caused by airlines, hotels, transport providers, activity operators, or other third-party suppliers.
All travel services remain subject to the terms and conditions of the individual supplier.

9. Complaints & Service Issues
If any part of your experience is unsatisfactory, clients must notify H&L Travel Co. within 24 hours of the experience, excursion, accommodation issue, or service concern.
This allows us the opportunity to work with the relevant supplier to attempt resolution, support, compensation, partial refund requests, or alternative arrangements where possible.
Failure to report issues within a reasonable timeframe may affect our ability to pursue resolutions with suppliers.
10. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travellers.
Travel insurance should include appropriate coverage for:
Medical expenses
Trip cancellation
Travel disruption
Personal belongings
Activities and excursions
Delayed or cancelled flights
H&L Travel Co. accepts no liability for losses incurred where adequate insurance has not been obtained.
11. Force Majeure
H&L Travel Co shall not be liable for any delays, changes, cancellations, losses, or additional expenses resulting from events beyond our reasonable control.
This includes but is not limited to:
Natural disasters
Extreme weather
Airline disruption
Government restrictions
Pandemics
Political unrest
Industrial action
Acts of terrorism
Supplier insolvency
12. Affiliate Partnerships
Some flight, hotel, or travel recommendations may include affiliate links through trusted partners.
Where bookings are made through affiliate links, H&L Travel Co. may receive commission at no additional cost to the client.
13. Limitation of Liability
To the maximum extent permitted by law, H&L Travel Co’s liability for any claim arising from our services shall be limited to the total planning fees paid directly to H&L Travel Co.
We shall not be liable for indirect losses, consequential losses, missed flights, missed connections, loss of enjoyment, supplier failures, or additional expenses incurred during travel.
14. Acceptance of Terms
By engaging H&L Travel Co’s services, paying a deposit, or confirming a booking, clients confirm they have read, understood, and accepted these Terms & Conditions.
